IT consulting for small and mid-sized organizations

Most organizations we meet do not have an IT department. They have one or two people keeping things running alongside their actual job. POT Falkenberg GmbH assesses that situation, plans improvements in a workable order, and stays available for day-to-day IT questions afterwards.

Assessment

What we look at first

An assessment starts with the basics: which hardware and software you run, how the network is set up, where data is stored, who has access to what. We ask what is documented and what lives only in someone's head, because that second category is where the real risk sits. If the person who configured your backup solution leaves, can anyone else restore it? Questions like that shape the plan more than any tool comparison. The first pass usually takes a few sessions, not weeks.

Systems

Which hardware and software are actually in use across the organization.

Access

Who holds administrator rights, and whether shared accounts still exist.

Foundation Documentation Privacy record

Documentation as the foundation

Undocumented systems cause two problems: nobody can fix them confidently, and nobody can prove what controls are in place. We build a plain-language record of your IT environment: systems, data flows, access rights, backup routines, and the reasoning behind past decisions where we can reconstruct it.

This record then serves double duty. It is an operations manual for your team and the technical basis for the technische und organisatorische Maßnahmen your privacy documentation needs. The two should never be separate documents.

For your team

A working operations manual: what each system does, how backups run, who to ask when something breaks.

For your records

The technical basis behind the measures your Datenschutz documentation has to describe.

Sequencing

Planning improvements you can absorb

Recommendations arrive in phases, ordered by risk and cost. We do not push a full overhaul when a targeted fix will do. Small organizations rarely benefit from big-bang projects, and they rarely survive them either.

First

A backup that has never been tested

The routine runs and reports success, but nobody has ever restored from it. We test it before anything else gets planned.

Second

Administrator accounts shared between several people

When one login serves three colleagues, nobody can say who changed what. Named accounts come before new software.

Third

Software past its security updates

Older releases that still work fine but no longer receive fixes. Replacing them is a schedule question, not an emergency.

Later

Access concept and hardware replacement cycle

Structural work: a written access concept, and a plan for aging machines so replacements are budgeted rather than improvised.

Cooperation

Working alongside your IT-Administrator

If you have someone handling IT already, we work with them rather than around them.

Division of labor
  • We handle planning, documentation and privacy alignment.
  • Your administrator handles hands-on changes in systems they know better than we do.
  • Both sides review the current setup together before anything changes.

The usual pattern is a joint review of the current setup, then a division of labor: we handle planning, documentation and privacy alignment, while they handle hands-on changes in systems they know better than we do.

For IT-Administratoren, this also builds the privacy competence that the role increasingly requires, since protecting personnel data is now part of system administration, not just a legal review that happens elsewhere. Where a broader skill gap shows up, our IT-Schulungen can close it without sending the whole team away for a week.

Ongoing administration

When there is no IT-Administrator at all

Some clients have nobody in that role. In those cases we can take on ongoing administration directly: user accounts, updates, backup monitoring, and a monthly review of anything that needs attention.

It is not a full managed-service contract with a call center behind it. It is a named contact who knows your systems and can be reached when something breaks or when a decision needs making. You can also use this arrangement as a bridge while you hire or train someone internally.

Datenschutz in the same conversation

Privacy and security in the same conversation

IT decisions have privacy consequences, and treating them as separate projects creates gaps. When we plan a new file structure or change access rights, we check the effect on your record of processing activities at the same time. When your privacy documentation promises a deletion schedule, we check that the systems can actually enforce it.

This is why IT-Beratung and Datenschutz sit in the same consultancy here. The alternative is two suppliers pointing at each other while a deadline approaches.

Locations

Where clients are based

The main office in Hünfelden covers organizations across southern Hesse. The Offenbach branch office handles clients in Frankfurt and the wider Rhine-Main area. Remote sessions work for assessment and planning regardless of location, and on-site visits are scheduled when hands-on work or a walkthrough of physical infrastructure is needed. Sector-wise, our clients range from engineering firms and medical practices to municipal offices and associations.

Process

How an engagement typically runs

Every phase has a defined end, so you are never locked into an open-ended arrangement. If you only need the assessment, that is a complete piece of work on its own.

  1. 1

    Conversation about the current state

You describe the systems, the daily friction and the pain points. We listen before we recommend anything.

  2. 2

    Assessment of the environment

A few sessions covering hardware, network, storage, access rights and what is documented. For a small organization, typically two to four weeks depending on how much documentation already exists.

  3. 3

    Written summary with prioritized recommendations

Plain language, ordered by risk and cost, with the reasoning written down so it survives staff changes.

  4. 4

    You choose how to continue

Implement internally with our documentation as a guide, have us handle the implementation, or take a middle path where we plan and review while your team executes. Büroorganisation and administrative Dienstleistungen can be added where the workload sits with one person.

Compliance note

IT-Beratung and Datenschutz overlap most where deadlines are set. If your organization has to document technical and organizational measures, plan the assessment early enough that the systems described and the systems actually running still match. POT Falkenberg GmbH advises on both sides of that line; it does not replace legal advice from your data protection officer or lawyer.

Questions

Common questions about the engagement

Short answers to what clients ask before the first session. If your situation is not covered here, the first conversation is free of charge and usually answers it.

Do you take over full IT administration?

We can, for organizations with no one in that role. It is a named-contact arrangement covering accounts, updates, backups and regular review, not a call-center service.

We already have an external IT provider. Does that conflict?

No. We often work alongside one, focusing on planning, documentation and the privacy alignment that general providers usually leave to someone else.

How long does an assessment take?

For a small organization, typically a few sessions spread over two to four weeks, depending on how much documentation already exists.

A first conversation covers the current setup and the pain points. From there you decide whether an assessment, a training session, a data protection review or an office organization project is the next useful step.
